Enquiries (contact, phone and e-mail). When you contact us — via the contact form, phone or e-mail — we process the information you give us yourself, typically name, company, e-mail address, phone number and the content of your message. The purpose is solely to be able to answer your enquiry and possibly prepare a quote. The legal basis is our legitimate interest in being able to respond to enquiries from potential and existing clients.
Client gallery. When we deliver wedding, event or portrait images to you, we create a private online gallery with a unique password. Here we process your name (or the couple's/company's name), a password for the gallery, and the images and videos we have taken. The purpose is to deliver the ordered product securely and conveniently. The legal basis is performance of the agreement we have entered into with you.
Invoicing and bookkeeping. When you book and pay for a service, we process name, address, e-mail and any company registration (CVR) details for invoicing via our accounting system. The purpose is to fulfil our agreement with you and our bookkeeping obligation under the Danish Bookkeeping Act. The legal basis is performance of the agreement and our legal obligation to retain accounting records.
Consent to photography at events. When our photographers cover an event, they visibly wear a QR code. The code links to a digital consent form (Google Forms), where guests and participants can give consent to appear in the images taken. The form records your response and the time of it, as well as any information you provide in the form yourself. The legal basis is your consent, which you can withdraw at any time by contacting us.
Image files. The images and videos we take may contain metadata from the camera or phone that took them (e.g. time and in some cases GPS position). We use only the images' embedded keywords (from Lightroom) to generate tags in the client gallery — we do not use or pass on any GPS data from the files.
We only set strictly necessary cookies without your consent. Statistics and marketing cookies are set only if you actively accept them in the cookie banner — and no tracking script is loaded before you have given consent. You can change or withdraw your consent at any time via «Cookie settings» at the bottom of the page.
Strictly necessary (no consent required)
Statistics — only with your consent
Marketing — only with your consent
If you decline statistics and marketing, none of these cookies are set, and the associated scripts are never loaded.
We use the following data processors to deliver our services and run the website. The statistics and marketing services (Google Analytics and Meta) are only activated if you have given consent in the cookie banner:
We only disclose information if we are legally obliged to, e.g. to public authorities.
We store your client gallery (images and password) for as long as it is relevant to the delivery of your service, and typically for a reasonable period afterwards, so you can access your images again. Contact us if you want your gallery deleted sooner.
Information from enquiries (contact form, phone, e-mail) is stored for as long as necessary to answer and possibly follow up on the enquiry, and is then deleted, unless an agreement is entered into that requires longer storage.
Under the General Data Protection Regulation (GDPR) you have a number of rights regarding our processing of your data:
You can exercise your rights by contacting us at info@mediamate.dk. You can also complain to the Danish Data Protection Agency (Datatilsynet) if you believe we are processing your data contrary to applicable law.
We use appropriate technical and organisational security measures to protect your data against unauthorised access, loss or misuse. Client galleries are protected with individual passwords, and all image files are stored privately — they are not publicly accessible.
We may update this privacy policy from time to time, e.g. if we change our services or the tools we use. The latest version will always be available on this page. We will draw attention to any significant changes.
